• Payment information (processed securely via Stripe — we do not store card numbers)
• Debtor and invoice data you upload or sync via CSV or third-party integrations
• Communications you send to us via email or support channels

Information generated automatically:

• Log data (IP address, browser type, pages visited, time spent)
• Device information (operating system, device identifiers)
• Usage data (features used, actions taken within the platform)
• Cookies and similar tracking technologies

Information from third-party integrations:

• QuickBooks Online — invoice and customer data you authorize us to access
• Stripe — payment transaction data
• Twilio — SMS delivery status and logs
• SendGrid — email delivery status and engagement data

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the CollectIQ platform
• Process transactions and send related information including invoices and receipts
• Send transactional emails and SMS messages on your behalf to your debtors
• Power AI debtor scoring and outreach recommendations
• Respond to your comments, questions, and customer support requests
• Send you technical notices, updates, and administrative messages
• Monitor and analyze trends, usage, and platform performance
• Detect, prevent, and address fraud, security issues, and technical problems
• Comply with legal obligations

3. How We Share Your Information

We do not sell your personal information or your debtors' data to third parties. We share information only in the following circumstances:

• Service providers: We share data with third-party vendors who help us operate the platform including Supabase (database), Stripe (payments), Twilio (SMS), SendGrid (email), Anthropic (AI processing), and Netlify (hosting). Each provider is bound by data processing agreements.
• Legal requirements: We may disclose information if required by law, court order, or government authority.
• Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.
• With your consent: We may share information in any other way with your explicit consent.

4. Data Ownership

All debtor data, invoice data, and business data you upload or sync to CollectIQ remains your sole property. CollectIQ claims no ownership over your data. You may export or delete your data at any time from within your account settings.

5. Data Security

We implement industry-standard security measures to protect your information including:

• 256-bit SSL encryption for all data in transit
• Encrypted data storage via Supabase
• Role-based access controls limiting data access to authorized personnel
• Regular security monitoring and vulnerability assessments

While we take reasonable precautions, no security system is impenetrable. We will notify you within 72 hours of discovering any data breach that affects your information.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide services. If you close your account you will have 30 days to export your data. After 30 days all your data will be permanently deleted from our systems. Certain information may be retained longer where required by law.

7. Cookies

We use cookies and similar tracking technologies to operate the platform, remember your preferences, and analyze usage. You can control cookie settings through your browser preferences. Disabling certain cookies may affect platform functionality.

8. Third-Party Links

Our platform may contain links to third-party websites including QuickBooks, Stripe, and others. We are not responsible for the privacy practices of these sites and encourage you to review their privacy policies.

9. Children's Privacy

CollectIQ is a business-to-business platform not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information we will delete it immediately.

Depending on your location you may have the following rights regarding your personal information:

• Access: Request a copy of the personal information we hold about you
• Correction: Request correction of inaccurate or incomplete information
• Deletion: Request deletion of your personal information

11. GDPR Compliance
