For staffing agencies

You pay weekly. Your clients pay in forty-five days. You're financing the difference.

Staffing doesn't really have a collections problem. It has a timing problem. Your people won't wait — they'll go work for the agency down the road. Your clients pay on their own policy, and no amount of goodwill changes their AP calendar.

Every week an invoice sits unchased is a week you've lent your client money out of your own working capital.

CollectIQ · invoicing, collections and payment for staffing and employment agencies

Where the gap actually comes from

It's rarely one big thing. It's four small delays stacked on top of each other.

Meanwhile payroll ran on Friday, burden and taxes came out with it, and the margin on that placement is thin enough that thirty extra days of float is most of what you made on it.

What CollectIQ does about it

Shortens each of those four delays, without hiring anyone to do it.

Day one

Invoices go out when the timesheet closes

Set the schedule once and the invoice sends itself — weekly, biweekly, per placement, whatever your cycle is. Recurring clients are billed on time without anyone opening a file.

Follow-up

Reminders run before and after the due date

A pre-due nudge while it's still easy, then an escalating sequence after. Everything stops the moment payment lands, so nobody gets chased for an invoice they already paid.

Priority

You see who to chase first

Overdue accounts are ranked by likelihood to pay rather than by age, so the hour you do have goes to the invoice most likely to close, not the oldest one on the list.

Payment

Card or bank, straight to you

Every invoice carries a payment page. Clients pay by card or ACH through Stripe and the money lands in your account — CollectIQ never holds it.

Hard cases

Payment plans instead of write-offs

When a client genuinely can't pay in full, CollectIQ drafts a structured plan for you to approve. A client paying over three months beats a client who stops answering.

Disputes

A record of what was sent and when

Every invoice, reminder, payment and change is dated and logged. When a client says they never received it, you can show them the day it went and the day they opened it.

What the AI does, and what it doesn't

AI drafts the messages — in your business's voice, with the invoice number, the amount and the due date already in them — and ranks which accounts are worth your time. You approve anything before it sends.

It doesn't decide what's overdue, what gets escalated or what a payment plan may offer. Those run on rules, because they need to give the same answer every time and need to be explainable to a client who challenges them.

Factoring, agencies, or this

The three things staffing agencies usually do about slow payment.

OptionWhat it costs youWhat you give up
Invoice factoring Typically 1–5% of the invoice, every invoice A third party now owns the receivable and contacts your client about it
Collection agency 25–40% of whatever they recover The relationship, usually. Agencies are for accounts you've given up on
CollectIQ Flat monthly fee plus 2% on invoices recovered through the platform Nothing — you keep the client relationship and the full amount they pay

The 2% applies only to invoices paid through CollectIQ, never to balances that go uncollected. Card and bank processing is separate and passed through at Stripe's cost.

Questions staffing agencies ask

How is this different from invoice factoring?
Factoring sells your invoice to a third party at a discount — you get cash now and keep less of it, on every invoice, forever. CollectIQ doesn't buy your invoices. You keep the full amount your client pays, minus a flat subscription and 2% on what the platform recovers. Factoring solves a cash emergency; this is meant to make the emergency rarer.
Do we need QuickBooks to use it?
No. CollectIQ creates and sends invoices itself, so it can be your invoicing system outright. If you already run QuickBooks Online or Xero, the Growth plan brings those invoices in so nothing gets entered twice.
Some of our clients only accept invoices through their own vendor portal.
You still submit through their portal. CollectIQ tracks the invoice, runs the follow-up schedule and logs every contact — so a portal client gets chased on the same cadence as everyone else, instead of being forgotten because it lives somewhere different.
We run an ATS and a payroll system already. Does this replace them?
No. CollectIQ sits after placement and payroll, on the invoice-to-payment side. It doesn't source candidates and it doesn't run payroll.
How fast can we start?
Same day. Import your client list by CSV, set the reminder schedule once, and invoices can go out immediately. The trial is 30 days with no credit card.
Will our clients know we're using software to chase them?
Reminders go out under your business name, from your address, in your voice. Nothing is branded CollectIQ to your clients.
